(a) A full-time, nonexempt employee becomes eligible for vacation after completing one (1) year of employment. His or her vacation allotment during the calendar year he or she reaches his or her one (1) year anniversary shall be in accordance with the following schedule:

Beginning with January 1st of the calendar year following the year in which a full-time, nonexempt employee reaches his or her one (1) year anniversary, his or her vacation allotment shall be in accordance with the following schedule:

(b) The amount of vacation benefit for full-time, exempt department head personnel of the Town, which includes the Town Manager, the elected Clerk-Treasurer, Building and Planning Director, Public Works Director, Park Superintendent, Police Chief and Fire Chief, shall be four (4) weeks or the amount of a nonexempt employee's earned vacation time according to the schedule above, whichever is greater.

(c) Vacation days may be taken in one-half (1/2) day increments. Vacation time requests in smaller increments must be approved by the employee's supervisor and only if no other PTO is available.

(d) Vacation days are credited for all continuous service in active pay status. Vacation is not earned while an employee is in a nonpaid status (i.e., leave of absence without pay, disciplinary suspensions, and short-term disability leave).

(e) Vacations are scheduled in accordance with workload requirements of the individual department or office. For this reason, it is essential that full-week vacation requests be made, in writing, at least one (1) week in advance of the proposed starting date. The supervisor has the authority to approve or deny vacation requests.

(f) For nonexempt employees, vacation days shall not be carried over to the following year without approval of the Town Manager. For department head personnel and the elected Clerk-Treasurer, the total number of carry-over vacation days shall not exceed five (5) days in total. Days in excess of five (5) to be carried over shall be forfeited. Employees shall use carried over vacation days within the first quarter of the year or carried over days shall be forfeited.

(g) Employees who are terminated, resign, or retire receive compensation for all unused vacation time in that calendar year and on a pro rata basis for all vacation time accrued for the following year. Vacation time accrued for the following year will be determined by dividing the number of potential vacation days by the number of fiscal quarters an employee completes, up to and including the day of separation. Accrued vacation time for the following year shall be compensated by rounding to the nearest half day.

(h) During the hiring process, the Town Council, Town Manager, or Clerk-Treasurer for his or her office only, may alter the vacation schedule.
